Purpose

Bayimba recognizes the potential benefits of Artificial Intelligence (AI) in enhancing its operations, improving efficiency, and achieving its mission. This policy outlines the principles, guidelines, and procedures for the development, deployment, and use of AI within Bayimba.

Scope

This policy applies to all Bayimba staff, contractors, and partners involved in the development, deployment, and use of AI solutions.

Principles

  1. Responsibility: Bayimba is committed to using AI in a responsible and transparent manner, ensuring that AI solutions are designed and deployed in ways that respect human rights, dignity, and autonomy.
  2. Accountability: Bayimba will ensure that AI solutions are designed and deployed in ways that promote accountability, transparency, and explainability.
  3. Fairness: Bayimba will ensure that AI solutions are designed and deployed in ways that promote fairness, equity, and inclusion.
  4. Security: Bayimba will ensure that AI solutions are designed and deployed with robust security measures to protect sensitive data and prevent unauthorized access.
  5. Innovation: Bayimba encourages innovation and experimentation with AI solutions, while ensuring that they are aligned with the organization’s mission and values.

Guidelines:

  1. AI Solution Development: Bayimba will develop AI solutions that are aligned with its mission and values, and that promote efficiency, effectiveness, and innovation.
  2. Data Quality: Bayimba will ensure that data used to train and deploy AI solutions is accurate, complete, and unbiased.
  3. Transparency and Explainability: Bayimba will ensure that AI solutions are transparent and explainable, providing clear information about how decisions are made and data is used.
  4. Human Oversight: Bayimba will ensure that AI solutions are designed and deployed with human oversight, ensuring that decisions are reviewed and validated by humans.
  5. Continuous Monitoring: Bayimba will continuously monitor AI solutions to ensure that they are performing as intended, and that any issues or biases are identified and addressed.

Procedures:

  1. AI Solution Proposal: Any proposal for an AI solution must be submitted to the Bayimba leadership team for review and approval.
  2. AI Solution Development: AI solution development will follow a structured process, including requirements gathering, design, testing, and deployment.
  3. AI Solution Deployment: AI solutions will be deployed in a controlled environment, with clear guidelines for use and monitoring.
  4. AI Solution Monitoring: AI solutions will be continuously monitored to ensure that they are performing as intended, and that any issues or biases are identified and addressed.

Roles and Responsibilities:

  1. Bayimba Leadership Team: responsible for overseeing the development and deployment of AI solutions, ensuring that they align with the organization’s mission and values.
  2. AI Solution Development Team: responsible for developing and deploying AI solutions, ensuring that they meet the organization’s standards and guidelines.
  3. Data Protection Officer: responsible for ensuring that data used to train and deploy AI solutions is accurate, complete, and unbiased, and that data protection policies are followed.

Review and Update:

This policy will be reviewed and updated annually, or as needed, to ensure that it remains relevant and effective in guiding the development and use of AI solutions within Bayimba.
